Job Description
- An administrative assistant supports office operations, performing a variety of tasks to ensure the smooth functioning of the office environment. This role involves managing schedules, handling correspondence, and providing general administrative support to executives and staff.
Responsibilities
- Answering and directing phone callsOrganizing and scheduling appointmentsPlanning meetings and taking detailed minutesWriting and distributing email, correspondence memos, letters, faxes, and formsAssisting in the preparation of regularly scheduled reportsDeveloping and maintaining a filing systemUpdating and maintaining office policies and proceduresOrdering office supplies and researching new deals and suppliersMaintaining contact listsBooking travel arrangementsSubmitting and reconciling expense reportsProviding general support to visitorsActing as the point of contact for internal and external clientsLiaising with executive and senior administrative assistants to handle requests and queries from senior managers
Requirements
- HND or BSC
- Proven experience as an administrative assistant, virtual assistant, or office admin assistantExperience with administrative and clerical proceduresPrior experience in a similar role in a corporate or business setting
Other Requirements:
- Availability to work full-time hours, typically 9 am to 5 pm, with occasional overtime
- Reliable transportation to the office
- Ability to handle confidential information with discretion
- Strong interpersonal skills and the ability to build relationships with staff, stakeholders, and clients
- Flexibility and adaptability to changing priorities and workloads
Skills:
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Ability to work independently and as part of a team
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
- Customer service orientation
- Professional demeanor and appearance.
Remuneration
- Salary: N150,000 – N250,000 per month based on experience and qualifications
- Potential for bonuses based on performance
